Terms of Service

These terms explain your subscription, your responsibilities and the limits of our med spa call handling service. Read them before requesting a free trial, then try the browser demo with fictional details.

The service and its operator

TypeScience, trading as Med Spa AI Receptionists, provides the website and AI receptionist service described in these terms. We use "we" for the operator and "you" for the business using the service. These terms cover your subscription, call handling instructions, use of caller information and responsibilities when setting up your receptionist.

Your receptionist answers as your business using the information you supply. Its role is front desk call handling: answering business questions, taking messages, booking appointments and routing calls. Read these terms alongside our privacy policy for accounts and callers before supplying business information or forwarding calls.

Online signup and setup

You sign in through an email link and complete an onboarding chat with the AI. The chat and your website provide the receptionist with your services, hours, price policy and call routing instructions. You can change settings by telling the AI in plain words.

We provide a local number and a forwarding guide for your carrier or phone system. You choose whether to forward all calls or only no-answer, busy or after-hours calls. A test call takes place before you go live, and a card is required before call forwarding goes live.

Free trial and conversion

The free trial lasts 14 days and is capped at 100 minutes. The trial converts to a paid subscription only with a card on file. We send a reminder email two days before conversion so you can review whether you want to continue.

You can hear the receptionist before signing up through the browser demo with a fictional spa. No signup is needed for that demonstration. Demo calls and chats are recorded and transcribed to show the result, so use invented details when trying the scenarios.

Monthly billing and usage

Your subscription costs $399 per month and includes 500 AI minutes. Additional minutes cost $0.20 per minute, with overage minutes billed monthly. The subscription is month to month and renews monthly until you cancel online.

You can view usage in your dashboard along with calls, transcripts, recordings and settings. Billing is handled by our payment processor, and we do not store full card numbers. Send account or billing questions to support@medspaaireceptionists.com.

Cancellation and a lapsed plan

You can cancel online in one click, and cancellation takes effect at the end of the paid month. Canceling ends the subscription's monthly renewal. Additional minutes remain billed monthly at $0.20 per minute, so check your usage when managing the subscription.

If your plan lapses, calls go to your backup number or voicemail. Keep that destination current as part of your call handling setup. Your business should maintain a backup way to be reached alongside the receptionist.

Your business information and greeting

You are responsible for your greeting, policies and the accuracy of information you give the AI. Supply the services you offer, the services you exclude, your hours, your approved price list and the people who receive urgent calls. Update those instructions when your business changes.

Each call begins with notice that the receptionist is a virtual assistant and that the call is recorded. Those two notices cannot be switched off. Your responsibility for the greeting does not allow removal of either notice from the call opening.

Appointments, prices and call records

Your receptionist can book appointments into Google Calendar or collect details for your callback, according to your preference. Price answers come only from your spa's own list and price policy. When the supplied information does not answer a question, the receptionist takes the details for your team.

We send email and app push notifications for calls, including a summary, urgency tag, transcript and recording, plus a daily digest email. You can also review call records in the dashboard. Direct connections to practice-management software are not live at launch; your team can enter the supplied summaries into its own software.

Urgent routing and clinical boundaries

Urgent calls use your configured warm transfer or paging route in the order you set. During a warm transfer, the on-call person hears a short summary and presses 1 to accept the call. You are responsible for keeping the on-call contacts and routing instructions accurate.

Post-treatment reactions, vision changes and trouble breathing go straight to the clinician, with callers directed to 911 for emergencies. Crisis calls are directed to 988. The receptionist gives no medical advice, diagnosis or triage decisions, makes no treatment results claims and is not an emergency service.

Protected health information

Our position on use with protected health information is the pending status (no business associate agreement is in place). Do not use protected health information with this service while the status remains unset. This restriction applies when providing setup information as well as when using the receptionist for calls or chats.

Keep real patient details out of demo conversations. The demonstration business and any patients in its examples are fictional. Assess the stated healthcare status before deciding what information your spa can provide during setup or call handling.

Customer instructions and data processing

For callers to your business, you decide what information is collected and why, and we process it on your behalf. These data processing terms form part of the terms of service. Caller records include call audio, recordings, transcripts, summaries and caller numbers, used to provide the call handling you configure.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

We also collect account details, onboarding answers and website content you point us to. Service provider categories include hosting and storage, telephone carriers, AI voice and text providers, payment processing, email delivery and analytics. By default, our API data is excluded from model training by the AI model provider.

Retention and privacy requests

We retain recordings for the period your business chooses, either 30 or 90 days, then delete them. Transcripts and summaries remain while the account is open and are deleted within 30 days after closure or on request. Choose your recording period with these separate schedules in mind.

We never sell personal information or use callers' data for our own marketing. Requests for access, correction, deletion or opting out can be sent to privacy@medspaaireceptionists.com. Callers can ask your business or us about their information.

Add-ons and follow-up consent

Website chat is an add-on that uses the same business knowledge and rules as your receptionist. Lead follow-up calling is a separate add-on for people who submitted your web form and ticked a consent box naming your business. You are responsible for the consent records for those follow-up calls.

Follow-up calls are made within about a minute, between 8 a.m. and 8 p.m. in the recipient's local time. The service makes one attempt plus one retry and honors opt-outs at once. This feature does not provide cold calling, list dialing or calls to purchased leads.

Acceptable use and suspension

You must not use the service for illegal activity, cold calling, robocalling, impersonation or harassment. Use the receptionist to answer as your own business and follow up only within the consent-based scope described here. Consent records remain your responsibility when you enable follow-up calling.

We may suspend the service for abuse. The website and service are not for children under 13. Keep your business instructions consistent with the receptionist's front desk role and its clinical boundaries.

AI mistakes and your review responsibilities

The AI can make mistakes, so you are responsible for reviewing summaries and keeping a backup way to be reached. Use the transcript and recording when checking a conversation that requires attention. An urgency tag or call summary does not replace the clinician's judgment.

Test your instructions before forwarding business calls and review them when your services, prices or on-call contacts change. Your receptionist relies on the information you provide for answers and routing. Your team remains responsible for responding to messages and handling questions that need its attention.

Service basis and liability limit

The service is provided as is. Our liability is capped at the fees you paid in the prior 12 months. Consider that limit together with the AI's possibility of mistakes when deciding how the receptionist fits into your business operations.

Review the call records and keep the backup contact route required by these terms. Clinical calls still require your clinician, and emergency calls belong with emergency services. The receptionist's role remains answering, recording details, booking and routing under your instructions.

Governing law, changes and contact

These terms are governed by the law of California. We notify you of changes to the terms by email. The date at the top of this page identifies when this version was last updated.

For service, setup or subscription help, email support@medspaaireceptionists.com. For questions or requests concerning personal information, email privacy@medspaaireceptionists.com. We sell the service online through the demo and trial, with no phone sales line.
