Med SpaAI Receptionists

Privacy Policy

This policy explains how we handle website, account and caller information for Med Spa AI Receptionists. Read the collection, retention and request details before trying the demo or providing information during your business setup.

Who operates the service

TypeScience, trading as Med Spa AI Receptionists, operates this website and AI receptionist service. In this policy, we describe how we handle information about people who visit the website, businesses that sign up and people who call those businesses. Privacy questions and requests can be sent to privacy@medspaaireceptionists.com.

Our customers use the service to answer calls as their businesses, collect messages, arrange appointments and route urgent calls. That service creates records such as call recordings, transcripts and summaries. Website demo calls and chats also create records, as explained below.

Customers, visitors and callers

We handle customer account information and website visitor information as part of providing this website and service. Customer information includes details supplied when a business signs up, completes onboarding or manages its account. Visitor information includes website analytics and records created when someone tries the demo.

For callers to a customer's business, that business decides what information is collected and why. We process caller information on the customer's behalf. Data processing terms are included in our terms of service. If you called a med spa using our receptionist, you can direct a privacy request to that business or to us.

Account and billing information

We collect account details including your name, business name, email address and phone number. These details support the account through which your business sets up and uses the receptionist. Account information is separate from the caller records generated when people contact your business.

Billing is handled by our payment processor. We do not store full card numbers. Payment processing is one of the service provider categories we use to operate the service. Questions about using your account or the receptionist can be sent to support@medspaaireceptionists.com; questions about personal information should go to our privacy email.

Onboarding answers and business content

We collect the answers your business gives during the onboarding chat and website content you point us to. This information teaches the receptionist about your services, hours, service area, price policy and urgent contacts. It supplies the business instructions used when the receptionist answers as your spa.

Your business can change receptionist settings by telling the AI in plain words. Consider what information is necessary for front desk call handling when supplying instructions. Our position on use with protected health information is the pending status (no business associate agreement is in place). While that status remains unset, do not provide protected health information to the service.

Call information and its use

We collect call audio, recordings, transcripts, summaries and caller phone numbers. These records support answering calls, taking messages, arranging appointments and directing urgent calls according to the customer's instructions. The business receives email and app push alerts with a summary, urgency tag, transcript and recording, and can review call records in its dashboard.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

The receptionist states at the beginning of each call that it is a virtual assistant and that the call is recorded. These notices cannot be disabled. Your business remains responsible for the information and policies it supplies to the receptionist, including how it wants caller questions and messages handled.

Browser demo calls and chats

We record and transcribe demo calls and chats on this website to show the result of the interaction. The demo uses a fictional spa and fictional patient examples. Use invented details when testing consultation booking, price questions or the other available scenarios.

The demo is a way to hear the receptionist before creating a business setup. It is not a place to submit real patient information or seek clinical advice. The records created by the demonstration are part of the information we collect, even when you have not signed up for an account.

Website analytics and cookies

We use privacy-friendly analytics and Google Analytics to understand use of the website. Google Analytics uses cookies. Website analytics are a separate category of information from the recordings, transcripts and summaries generated by calls or chats.

If you want to ask about website information associated with you, contact privacy@medspaaireceptionists.com. You can use that address for access, correction, deletion or opt-out requests. The same privacy contact is available to website visitors, account holders and people whose calls were handled for a customer business.

Service providers

We use service providers for hosting and storage, telephone carriers, AI voice and text models, payment processing, email delivery and analytics. These categories support the website, account and receptionist functions described in this policy. Call information is processed as part of delivering the service on the customer's behalf.

The AI model provider, OpenAI, does not use our API data to train its models by default. AI voice and text processing supports the call conversation and its records. Email delivery providers support the call alerts and daily digest sent to the customer business.

Selling information and our marketing

We never sell personal information. We never use callers' data for our own marketing. Caller records are processed on behalf of the business whose calls the receptionist answers, for the call handling purposes that business sets.

This distinction applies to a caller's number, recorded conversation, transcript and summary. Providing a record to the customer business as part of its answering service is how we deliver the service. It does not turn that caller record into material for our own marketing.

Retention and deletion

Recordings are kept for the period the customer business chooses: 30 or 90 days. We delete recordings after the selected period. Transcripts and summaries are kept while the account is open and deleted within 30 days after the account closes or on request.

The recording schedule and the transcript and summary schedule are different. Businesses should take that difference into account when choosing a recording period and reviewing their call records. To request deletion of personal information, email privacy@medspaaireceptionists.com.

Your privacy requests

You can request access to, correction of or deletion of your personal information, or ask to opt out, by emailing privacy@medspaaireceptionists.com. Callers can contact the business they called or contact us directly. California residents' privacy rights apply where applicable.

When your request concerns a call to a med spa, remember that the customer business determines what was collected and why. We process that caller data on its behalf. Use the privacy email for questions about information handled through this service and the support email for practical help with your account.

Children, policy changes and contact

This website and service are not for children under 13. The browser demo is intended to demonstrate business call handling using fictional details. It should not be used to provide real patient information or clinical questions.

We date policy changes on this page so readers can see when the policy was last updated. For privacy questions or requests, email privacy@medspaaireceptionists.com. For service help, email support@medspaaireceptionists.com. You can also review our service terms and call data handling page alongside this policy.
